When you start working with us, we don’t just dive into taxes and numbers—we take time to get to know you, your business, and your goals. Our onboarding process is designed to give you clarity, confidence, and a rock-solid financial foundation to build on.

This 5-phase journey is where everything begins. It sets the tone for our relationship, establishes strong communication, and gets your financial systems in sync—all while helping you feel fully supported every step of the way.

Phase 1:
Let’s Make It Official

Day 1

Once you say yes (🎉), you’ll receive a welcome email and an invite to your secure client portal. You’ll also meet your Client Manager—your go-to person for questions, guidance, and making sure nothing falls through the cracks.

Phase 2:
Get Us Up to Speed

Week 1

You’ll fill out our Questionnaire, which helps us learn about you, your business structure, and your current setup. We’ll ask for things like:

  • Entity formation documents
  • Prior tax returns
  • Access to accounting software (like QuickBooks)
  • A few personal and business details (nothing scary, we promise)

You'll also get a link to schedule your first strategy session, where the real magic begins.

Phase 3:
Portal Setup +
Meet the Team

Week 2-4

Behind the scenes, our admin team gets everything set up:

  • We create or update your client portal profile
  • Add team members (like your COO or bookkeeper) with the right access
  • Review your submitted documents and clarify anything we need

Then it’s time for your first strategy session (usually 1–1.5 hours). We’ll talk through best business practices, tools you’re using, and areas you want to improve. You’ll get a custom presentation built just for your business—and we’ll leave you with a game plan.

Phase 4:
Dig In & Plan Ahead

Week 5-11

This is where we roll up our sleeves.

  • Our team reviews your prior tax filings, compensation planning, payroll setup, and more
  • If you need cleanup work or catch-up filings, we’ll take care of it or outline a plan
  • We prepare a Tax Planning that shows your estimated income, taxes due, and real tax-saving strategies tailored to your business to ensure that you are paying as little taxes as legally possible.

Phase 5:
From Onboarding to Ongoing

Week 12

With your plan nearly complete, we schedule your second strategy session (usually 1–1.5 hours). We’ll walk through your updated financials, present your personalized tax plan, and talk through projections and planning strategies. You’ll leave with a clear, customized roadmap for minimizing taxes and maximizing your next steps.

Once we’re aligned, we’ll wrap up onboarding and transition you to monthly service. Your Client Manager will continue to guide and support you year-round—not just during tax season.

You’ll receive:

  • The final version of your tax planning workpaper
  • Meeting notes and next steps
  • A copy of your onboarding presentation + client manual with best practices

And most importantly—a smooth, confident handoff into your new accounting home.
